I. Personal Information Protection Policy

 

At Property Access, we handle personal information obtained through our business activities in accordance with the following policy and fulfill our responsibilities to our customers and to society with respect to the protection of personal information.

 

Acquisition, Use, and Provision of Personal Information

We will acquire personal information through legal and fair means.

We will use personal information only to the extent necessary to achieve the purpose of use.

When we provide personal information other than specific personal information to a third party, we will obtain prior consent from the individual concerned. We will not provide specific personal information to a third party even with the consent of the individual, except in the cases listed in each item of Article 19 of the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures.

We will not use the acquired personal information for any other purpose.

If it becomes necessary to use the information for purposes other than the intended use, we will obtain the consent of the individual for a new purpose of use before using the information.

 

Laws and regulations, guidelines and other standards established by the government (hereinafter referred to as “laws and regulations, etc.”)

We will endeavor to keep abreast of laws and regulations related to the business of handling personal information, and will ensure that all officers and employees engaged in our business are aware of and comply with such laws and regulations.

 

Personal Information Security Management

In order to prevent various risks such as unauthorized access to personal information, leakage, loss, or damage of personal information, we will establish and maintain a system to take prompt corrective measures for the security management of personal information.

We will conduct inspections and promptly correct any violations or accidents that are detected, and implement preventive measures against vulnerabilities.

We will ensure that all officers and employees are thoroughly trained in security management.

 

Complaints and Inquiries

For complaints and inquiries regarding the handling of personal information, we set up an inquiry/complaint desk and will respond promptly and in good faith.

 

Continuous Improvement

To protect personal information, we will monitor compliance with internal rules and regulations to detect violations, incidents, accidents, and vulnerabilities, which will be reviewed by our management. We will reflect these findings in our internal rules and regulations, and strive to continuously improve our personal information protection system, including this policy.

 

II, Handling of Personal Information

 

Purpose of Use

We use personal information to conduct our business, to provide our products and services, to provide information on those products and services, and to conduct research and development of products and services. Our business includes the following:

Buying, selling, holding, leasing, operating and managing, and brokerage and agency of real estate in Japan and abroad

Buying, selling, managing, offering, brokerage and agency, and handling of offering of domestic and foreign financial products

Provision to Third Parties

In addition to cases in which we are required by law to do so, we will, to the extent necessary to achieve the purposes of use described in “Purposes of Use” above, provide information to its group companies, including domestic and foreign subsidiaries and affiliates (hereinafter referred to as the “Group Companies”), service providers, domestic and foreign real estate sellers, buyers, prospective sellers and buyers, and their intermediaries, as well as companies participating in real estate conferences hosted by us (including businesses outside of Japan). Third parties to which we provide information include entities in the United States, Australia, Singapore, the Philippines, South Korea, Vietnam, and the United Arab Emirates. The information to be provided will be your name, address, telephone number, and other items necessary to achieve the respective purpose of use, but will be limited to the essential items only.

 

Joint Use

We will jointly use your personal information as follows.

Your name, address, date of birth, telephone number, e-mail address, SNS ID, information regarding transaction history, etc.

When the information becomes identifiable personal information by combining it with your information, we will manage it in accordance with the privacy policies of our website and our Group Companies.
